Description
That notification must be made electronically through the digital portal of the Labour Inspectorate, hli.gov.gr, by undertakings with more than 50 employees or where more specific factors, such as the activity of the undertaking, e.g. the existence of hazardous chemical or biological agents, require such an appointment to be made.
The notification of appointment of an occupational physician must relate to the undertaking’s registered office, with a separate such notification for each branch or other place of work, where it is necessary for workers to be covered by the services of an occupational physician.Basic information

Possession of passwords to enter software
An undertaking which intends to notify the appointment of an occupational physician must have codes for the IKA Fund / ERGANI systems and must have set up an account as a ‘Company’ on the Labour Inspectorate’s Integrated Information System platform. In very specific cases where the undertaking does not have codes for the IKA Fund / ERGANI systems (e.g. foreign undertakings, construction firms, etc.), notification of appointment of an occupational physician will be done manually by submitting the necessary printed supporting documents to the competent Health and Safety Inspection Department.

Possession of passwords to enter software
The occupational physician, whose appointment the company intends to notify, must have created an account as an ‘occupational physician’ on the Labour Inspectorate’s Integrated Information System platform. That is to say, they must have applied to be entered in the Register of Occupational Physicians, and their application must have been accepted by the competent Health and Safety Inspection Department in order for them to be entered in the Register of Occupational Physicians.

Description Using the undertaking’s access codes, the competent employee must log in to the undertaking’s account on the Labour Inspectorate Information System and select the electronic service ‘Notification of appointment of an occupational physician/Safety Technician’. Then they must select ‘Declare total number of employees’ so that the system automatically calculates the minimum number of hours the occupational physician must be employed at the undertaking as a whole, based on the data entered. The competent employee of the undertaking must then select ‘Notifications of appointments of occupational physicians’ at undertakings and branches and enter the information requested, separately for the registered office, and for each branch or for any other place of work. Finally, the notification is dispatched to the occupational physician named by selecting ‘Submit’. Detailed instructions can be found at the following link: Link

Acceptance or rejection of the notification of appointment by the occupational physician

Description The occupational physician named in the notification must log into their account on the information system in order to accept (or reject) the notification of their appointment as occupational physician for the undertaking.
Notes Both the undertaking and the occupational physician will be notified about the progress of the notification process, e.g. acceptance, rejection, etc., via a message sent to their account on the information system.

Description If the occupational physician accepts the notification of their appointment, the notification is automatically assigned a reference number and is forwarded to the competent Health & Safety Inspection Department of the Labour Inspectorate, based on the location of the branch or the place where the occupational physician will provide their services.
